Microsoft 365 · plan and cost advisor

Which Microsoft 365 plans does each team need, and what will they cost?

Most companies do not need one plan for everyone. Describe your groups of people and what each one needs; the advisor finds the cheapest combination of plans and add-ons that covers every requirement, says what it leaves out, and shows the alternatives with their trade-offs — priced from the current Microsoft list for your region.

An estimate at list prices, not a quotation: taxes are excluded, carrier charges for phone minutes are separate, and the licensing rules are those we publish in the open. Your answers stay in this browser until you send them.

How the advice is made

Rules, in the open

Why groups instead of one plan for the company?

Because Microsoft prices features, not people, and a warehouse team does not need what finance needs. The advisor optimises every group on its own, then applies the tenant-wide limits (300 users across the Business plans, Copilot Business up to 300) and shows one plan for everyone only when that is cheaper or simpler by the rule you chose.

Where do the prices come from?

From the Microsoft partner price list we load every month for each region (the date is printed on the result), commercial segment, list price before any discount, tax excluded. Europe is invoiced by IT Partners EU OÜ in EUR, GBP, CHF, SEK, NOK or DKK; Canada in CAD; Australia and Oceania in AUD; the Middle East and Central Asia in USD. Charity and education price lists are not automated: the advisor sends those to a quote.

What does “required”, “nice to have” and “not sure” do?

Required must be covered, or the advisor says no plan fits. Nice to have is left out when it costs money, and listed under not included with the price of adding it. Not sure is listed too, so it is settled on the quote rather than silently priced in or out.

How are Teams, Teams Phone and calling handled?

Suites with Teams and suites without Teams plus Teams sold separately are both candidates; the cheaper compliant one wins, with the exception of the Business suites in the EEA and Switzerland, which are sold without Teams. A phone number in Teams is the Teams Phone licence; the carrier connection — a Microsoft Calling Plan, Operator Connect or Direct Routing — is a separate decision, and the advisor refuses to hide it.

What is checked before the result is shown?

Every rule is tested against a fixed set of scenarios (mixed plans, the 300-user limit, shared mailboxes, Copilot prerequisites, Teams Phone without a carrier, unknown prices) each time the catalogue or a price list changes. The catalogue version and the price date are printed on every result so it can be reproduced.

Is this a quote?

No. It is an estimate at list prices to help you decide; a quote comes from a person, at your terms, after a short conversation about what you have today. If you already know what you need, the price list lets you build a proposal line by line; if you have one problem to solve, the plan finder is quicker.
