Tell us what you have and what is bothering you — a leaver who might delete their mail, phishing that gets through, a phone system to replace — and get the licences that fix it, the cheaper of “upgrade the bundle” and “add the pieces”, priced per user at Microsoft list prices. Nothing is oversold: if what you have already does it, the answer says so.

The rules behind the answers
The finder applies these. They are the same rules a good licensing review applies, and the reasons a quote from one reseller can be a third cheaper than another for the same outcome.
Business Standard plus Entra ID P1, Intune and Defender for Business costs more than Business Premium, which includes all three and more. One add-on on a cheap base is fine; three is a sign to upgrade.
E5 is the right answer when you need most of it. For attack simulation alone, Defender for Office 365 Plan 2 costs a fraction. For legal hold alone, Exchange Online Archiving. The finder always prices the narrow option.
Premium for finance, executives and remote staff; Basic or F3 for people who only need mail and Teams on a phone. Licence the risk, not the headcount.
Business Basic, Standard and Premium are capped at 300 per tenant. Past that, or for a group heading there, Microsoft 365 E3 is the equivalent of Premium with no cap, bigger mailboxes and unlimited archive.
Every Business Premium tenant we audit has features switched off that were paid for: Conditional Access not enforced, DLP not turned on, Safe Links in audit mode. The licence is the start; the setup is the work.
Annual commitment is about 20% cheaper per seat; monthly can be cancelled or reduced any month. Put the certain headcount on annual and everything you are not sure about on monthly. Renewal dates in a calendar six weeks ahead.
Questions
Exchange Online Plan 2, Office 365 E3, Microsoft 365 E3 and E5, and Microsoft 365 Business Premium (which includes Exchange Online Archiving). Business Basic, Business Standard, Office 365 E1 and Exchange Online Plan 1 need the Exchange Online Archiving add-on. A mailbox on hold survives the account being deleted as a free inactive mailbox.
Attack simulation training in Microsoft Defender needs Defender for Office 365 Plan 2 or Microsoft 365 E5, and every user targeted by the simulation needs it, not only the administrator. Business Premium and Microsoft 365 E3 include Plan 1 only. Microsoft offers a 90-day Plan 2 trial, which is enough to run a first campaign before buying.
Office 365 E3, Microsoft 365 E3 and E5, and Exchange Online Plan 2 have always had 100 GB plus an auto-expanding archive up to 1.5 TB. From summer 2026 Microsoft 365 Business Premium also has 100 GB. Business Basic, Business Standard, E1 and Exchange Online Plan 1 stay at 50 GB; the Exchange Online Archiving add-on gives them the archive.
You can add Intune Plan 1 and Entra ID P1 to Business Standard, but the two add-ons cost more than the difference to Business Premium, which includes both plus Defender for Business, Defender for Office 365 Plan 1, DLP and archiving. Once you need two or more of these, Premium is cheaper.
Teams Phone Standard is the phone-system licence per user; you then need either a Microsoft calling plan (domestic, 120-minute or pay-as-you-go), Operator Connect with a carrier, or Direct Routing. Microsoft 365 E5 includes Teams Phone Standard already. In the EEA, Teams itself is licensed separately from the suite.
Business Premium and E3 include DLP for email, Teams, SharePoint and OneDrive. Blocking USB, printing and uploads on the device itself needs Endpoint DLP, which comes with Microsoft 365 E5, the E5 Information Protection and Governance add-on, or the Purview Suite add-on for Business Premium and E3. Intune can block USB storage outright without DLP.
No. Retention and holds keep data for compliance; they are not a backup against ransomware or an administrator error. Microsoft 365 Backup is a separate consumption-priced service, and third-party backup is common. The finder does not include it; ask and we quote it.
